Camp and Program Administrator

Position Summary:

This position supports the work of the Y, a leading nonprofit committed to strengthening the community through youth development, healthy living, and social responsibility.This position supports the Y’s largest program, Summer Day Camp as well as administrative tasks for the management team. This role is responsible for appropriately representing the NSYMCA to both internal and external customers.

Essential Functions:

  • Support the daily functions and operations of the camp and assist the Camp Director, parents, campers, and staff.
  • Perform all administrative tasks including, but not limited to registrations and maintaining camp databases – including entering and completing all registration codes.
  • Runs all rosters, sign-in sheets, and any rosters used for camp.
  • Complete camp monthly and weekly newsletters, recap emails, and surveys.
  • During camp, ensures daily upload of photos to social media sites.
  • Coordinates all aspects for special lunches, field trips, and other special events at camp – including planning, paperwork, bussing, waivers, billing, distribution, etc.
  • Manage all outside vendors including 3rd party camp suppliers, vendors, etc.
  • Supply parents with tax receipts as needed.
  • Maintains inventories and prepares orders for supplies, verifies when they are delivered, and distributes supplies as needed, this includes but is not limited to art supplies, first aid supplies, camp store items, and t-shirts.
  • Maintain all camp records tracking expenses.
  • Coordinate all payment plans, communicate with parents and maintain accurate payment plan records.
  • Assist the Camp Director in all administrative tasks.
  • Become an expert in the Y’s operational database.
  • Run the camp snack program.
  • Assist the Youth Development Director in afterschool registrations, payment plans and administrative tasks.
  • May assist the afterschool program with transporting youth to the Y.
  • Work the Customer Service desk during the non-camp sessions.
  • Coordinates all administrative duties that apply to all NSYMCA programs. This includes but is not limited to: program guides and codes, planning, CCC, etc.
  • Assist with CCC database management.
  • Compile & distribute a staff weekly email newsletter.
  • Assist CEO with the board of director and administrator projects.

General:

  • Read, know, follow and enforce emergency procedures, YMCA policies, rules, and health codes applicable to the facility.
  • Assist and attend any NSYMCA events.
  • Attends all required meetings and models leadership to other staff.
  • Participates in committees as assigned.
  • Work as directed on all other projects.

Qualifications:

  • BA/BS degree preferred. Professional experience in the YMCA or another similar not-for-profit organization.
  • Quick thinker with a high energy level; able to collaborate with diverse personalities and build strategic work relationships with colleagues, peers, constituents, volunteers, and vendors. Exceptional “people skills” and an ability to articulate the Y's mission is essential.
  • Outstanding organizational, administrative, and computer skills. Strong proficiency with MS Office including Word, Excel PowerPoint and Outlook necessary.
  • Excellent customer service skills are required. High-integrity team player, results-driven, and flexible.
  • Management and supervisory skills are necessary
